1. Who we are

MindServing is operated by MDM Agency sp. z o.o., a company registered in Poland at the address above. We provide educational digital resources about eating behaviors, body image, and well-being. Our resources are written by Magdalena Niemczyk, also known as Megan.

This notice covers our website, inquiries, and product support. Our store and checkout use Payhip, which also processes information under its own privacy notice.

2. What information we collect

  • Inquiries: your name, email address, message, and information you choose to include. Please do not send medical records or sensitive health information. This form is not for treatment or emergencies.
  • Orders: information available through Payhip or the payment provider, such as purchased items, email address, order reference, payment status, and billing or tax information needed for support and records.
  • Technical information: IP address, browser and device information, request logs, security events, and consent preferences.
  • Analytics and advertising: online identifiers, visits, and interactions processed by integrations such as Google Analytics and Meta Pixel. This information is not necessarily anonymous.
  • Comments: the comment, display name, and information you submit, together with technical information used for spam protection. Published comments and display names are public.

3. Why we collect it

We use inquiry information to respond to you, based on our legitimate interest in communicating with visitors. Information needed to take steps toward or fulfill our own contractual obligations is processed on that basis. Accounting and tax records are processed to comply with legal obligations. We rely on legitimate interests to protect the site and establish, exercise, or defend legal claims.

Where required, optional analytics and advertising processing relies on consent. You may withdraw consent through the consent controls. Continued browsing is not consent.

4. Purchases & payments

Our digital store and checkout are hosted through Payhip. Payment details are handled by the payment provider selected at checkout. Payhip states that it does not collect your payment card details.

We may access order and transaction information for support, refunds, accounting, and legal obligations. Payhip and payment providers also process information for their own services; this does not remove our responsibilities for the information we control.

Read Payhip’s Privacy and Cookies Policy and the privacy notice of the payment provider shown at checkout.

5. Cookies

Cookies and similar technologies support essential features, consent preferences, statistics, and advertising measurement. Analytics and advertising identifiers can be personal data.

Use Manage consent to review or change your optional statistics and marketing choices. Where prior consent is required, optional technologies must not operate before consent. Browser settings can also delete or block stored cookies.

See our Cookie Policy for more information.

6. Third parties

  • Hosting and email services: support the website, technical security, and business correspondence. Our website’s hosting provider is OVH.
  • WordPress and WPForms: provide website and contact-form functionality. Software use alone does not mean form messages are sent to the software vendor.
  • Complianz: manages consent preferences and optional integrations.
  • Payhip and checkout payment providers: support orders, delivery, payments, and their own service obligations. See Payhip’s privacy notice.
  • Google Analytics: measures website visits and interactions. Google’s Privacy Policy.
  • Meta Pixel: supports advertising measurement and attribution and, where configured, advertising audiences. Meta’s Privacy Policy.
  • Google Fonts: supplies website fonts. Requests to Google’s servers can disclose technical information, including an IP address; this is separate from Google Analytics.

We may disclose information when required by law or necessary for legal claims. Social media platforms process interactions on their services under their own notices.

7. Your rights

Subject to applicable legal conditions, you may request access, correction, erasure, restriction, or portability; object to processing based on legitimate interests; and withdraw consent. Withdrawal does not affect lawful processing before withdrawal.

Contact megan@mindserving.com. We may request proportionate information to verify your identity. We normally respond within one month and explain any legally permitted extension.

You may complain to UODO, the Polish supervisory authority, or another competent authority. For information separately controlled by Payhip or a payment provider, its notice explains its request process.

8. Data retention

Inquiry correspondence is retained while necessary to answer the inquiry, resolve related follow-up matters, or establish, exercise, or defend legal claims. Published comments remain available until removed, subject to legitimate moderation and legal requirements.

Accounting and tax records are retained for the statutory periods applicable to each record. Order-support information is retained while needed for delivery, complaints, and applicable claims. Technical logs, consent records, and analytics data are retained for their security, consent, or measurement purposes, according to the relevant system settings. Provider-held records follow the provider’s notice.

Retention includes relevant mailbox copies and backups. Information no longer needed for these purposes is deleted or anonymized, subject to legal retention requirements.

9. International data transfers

Payhip is based in the United Kingdom. Providers including Google and Meta may process information in countries outside the European Economic Area, including the United States.

Where GDPR transfer rules apply, transfers require an applicable adequacy decision or another lawful safeguard, such as standard contractual clauses. Provider notices explain their processing locations and safeguards. Contact us for information about safeguards relevant to our processing. We do not claim that all analytics data stays within the EEA.

10. Children's privacy

Our resources are intended for adults aged 18 and older. If you believe we have received personal information from a child, contact us so we can review and address it.

11. Changes to this policy

We update this notice when our practices or legal requirements change and update the date above. We provide additional notice where required. A notice update or continued use of the website does not create consent to a new processing purpose.
